ICW NE Meeting Minutes – August 3, 2022
CALL TO ORDER AND ROLL CALL
6:13pm – Tracey and Cindy, Darren, Heather, Nick M., Rachelan and David, Lou

MINISTER REPORTS
Autocrat – Tracey
Tracey did minutes from the last meeting and the agenda for today, which are posted to the forum at Chleirigh.org. She set up the weekly Zoom meeting and work with Nick M. on the website. She is pleased with our progress so far.

Co-autocrat – Rachelan
Rachelan explained to our good Duke that we would like him to work with Jessica Hanwell on the “show” for ICW, along with other correspondences concerning the War. She is also working on various items that are discussed in Old Business.

Hospitaler – David G.
David is in touch with the Imperial Hospitaler.

Lists and Rolls – Heather
Heather is in charge of both our ICW NE and the ICW SE Lists and Rolls. David G. has all the paperwork ready to go.

War and Joust – Rachelan
Rachelan reported that our WoJo is waiting to receive the official scenarios before he can begin planning. He is trying to get combat cards filled out. Combat cards will be required for everyone.

Robe (A&S) – Heather
A way to earn points on non-judged arts projects was discussed. A&S is now called “Robe.” There are forms changes coming that we need to keep aware of. Heather still needs to make the Robe Judge packets.

Archery and Thrown
Nick is considering how to use specialty targets for the event. He was asked to make a proposal for Eric.

Feast and Boards
Heather and Darren will donate the food for the two meals they are serving as feastocrats, that being Saturday lunch and Sunday breakfast. Tracey asked that they submit their expenses even though they are donating them to give us a cost history for future planning.

Website – Nick
Nick has the event website up. He needs the war scenarios and the remaining meal menus.

OLD BUSINESS
Site: Contract and Other Considerations - Tracey
Tom W. agreed to our contract. He will sign it and give it to Cindy on Sunday. The invoice from Tilletts Toilets has not come in, yet.

Pre-registration/Checking Account - Rachelan
Rachelan discussed getting a checking account with Her Imperial Majesty and got a positive response to having one. She is looking into how to set one up.

YouTube Channel
Rachelan sent a proposal to the Imperium for the creation and use of YouTube channels.

Schtick – Darren
Darren made a request to meet with Jess the day of the Weeping Rose Investiture.

Decorations – Heather
The Theme will be “Silver Anniversary.” Heather will decorate the following areas: Indoor Hall, Outside Pavilion. She will use greens and flowers, much of which the Duchy has in storage. She would also like to make a cute pathway somewhere outside. Heather will need a decoration crew of at least four healthy young people.

Site Tokens – Rachelan and Heather
We decided to use a ribbon system that will indicate which activities the guest has sign up for. Colors will indicate activities. These will be added to the basic site token. Armbands will be used to designate which side of the war people are on. Rachelan will send out the token ribbon color chart.

No budget is needed for these as the Duchy has all the parts in stock.

NEW BUSINESS
Chivalric Circle – Darren
The Empire wants these circles to once again be held at major events. The art of Chivalry is being lost and the goal is to reinstate chivalry and have all knights trained in what it means to be a knight. The highest ranking knight is in charge, which will probably be Duke Kerrigan unless an Imperial attends.
